The ChatGPT Setup Most People Never Touch

The full walkthrough of the settings that change how ChatGPT talks to you, what it remembers, and who can get into your account. About fifteen minutes, once.

A note before you start: OpenAI moves menu items around. If a tab sits somewhere slightly different or has a new neighbour, don't worry. The names stay close and everything here still lives in the same Settings panel. And nothing you change is permanent. Every switch flips back.

Why bother

You don't run new software on defaults. Neither do I. Thirty years in enterprise tech and finance, and the first thing I ever did with a new tool was open its settings.

ChatGPT is no different, except almost nobody does it. The out-of-the-box version, the one that gives you generic, slightly robotic answers, isn't the real thing. There's a settings page most people never open, and it controls three things that matter: how it talks to you, what it remembers about you, and who can get into your account. Everything below works on the free plan.

Default ChatGPT

Long and hedged. Restates your question back to you. Generically upbeat. Three caveats you didn't ask for.

After 15 minutes

Gets to the point. Sounds like a colleague who knows your work. Picks up where the last conversation left off.

Find your settings

Go to chatgpt.com. Bottom-left corner: a small circle with your photo or initials. Click the circle itself. In the menu that opens, near the bottom: Settings.

A panel opens with a list down the side: General, Notifications, Personalization, Data controls, Security, and more. Everything in this guide lives in that panel.

Voice and dictation

Two quick, comfortable ones first.

  • Voice (its own tab). Cycle through the named voices and pick one you'd actually listen to for ten minutes. Leave Model, Intelligence and Language alone unless you have a reason not to.
  • Dictation (back in General). Turn on Enable Dictation and you can talk to ChatGPT instead of typing. Easy to miss, genuinely useful.

Personalization: where the generic answers end

Open Personalization. The most useful page in the app, and most people never scroll through the whole thing.

  • Base style and tone, a dropdown of presets (Professional, Friendly, Candid, Efficient, and more). Pick the one that sounds like a colleague you'd want to work with.
  • Characteristics, dials for Warm, Enthusiastic, Headers & Lists, Emoji. Nudge Warm up if it feels clinical. Nudge Enthusiastic down if you want less cheerleading.
  • About you. Nickname (what to call you); Occupation (if you're retired, say so and what you did, it shapes every example you get); More about you (don't write this from scratch, Step 4 does it for you).
  • Custom instructions, a separate box near the top, for how it should respond. Type in it, then click Save.

You'll scroll past a few other sections here. Skip them. They aren't part of setup.

Let ChatGPT write its own instructions

You don't have to figure out what to put in "Custom instructions." Have ChatGPT interview you. Open a fresh chat and paste this:

I'm filling in ChatGPT's custom instructions. Ask me five questions, one at a time, that will help you write a short set of instructions describing how I'd like you to communicate with me. Then write it out for me to paste in.

It'll ask about things you'd never think to specify: whether you want the detail first or the headline first, whether it should push back or just get to the point, how you feel about humour. Answer honestly. Then it hands you a tidy paragraph. Copy it, go back to Settings → Personalization, paste it into Custom instructions (not "More about you"), and hit Save. The single highest-value five minutes in this checklist.

Shorter, no interview

Write me a short set of ChatGPT custom instructions for someone who wants direct, concise answers with the conclusion first and no filler. Then stop.

Tuning what you already have

Here are my current custom instructions: [paste]. Ask me three questions about what's not working, then rewrite them.

Memory: what it keeps for you

Still in Personalization, find Memory. Turn it on and ChatGPT remembers details across conversations, things like your projects, your preferences, the thing you asked about last week, so you stop reintroducing yourself.

The part that matters: you can see all of it, and nothing happens quietly. Click saved memories to read every line, one per row. Delete any entry in one click. Or one switch turns Memory off entirely.

Data controls: what stays, what goes

Open Data controls.

  • Improve the model for everyone. Click into it to find the toggle. On means your chats help train ChatGPT, off means they don't. No wrong answer. The point is it's now your choice.
  • Shared links. Every chat you've sent someone lives here. Click Manage to review or delete them.
  • Archived chats. Conversations you've set aside. Tidying, not deleting.
  • Delete all chats. Wipes everything, permanently. Don't click it by accident.
  • Export data. ChatGPT emails you a copy of your conversations, whenever you want one.

Security and login: the second lock

Open Security and login.

  • Multi-Factor Authentication. Turn on Authenticator app, or Text message for an SMS code. About thirty seconds, and it's a second lock on the door.
  • Sessions → Active sessions. Every device signed into your account, each with its own Log out button for anything you don't recognise.
  • Log out all. One button that ends every session everywhere. For when you used ChatGPT on a hotel computer and can't remember signing out.

The order

If you only do part of it today

Roughly most-noticeable first:

  1. Personalization (you'll feel this immediately)
  2. Memory
  3. Data controls
  4. Security

And to be clear: everything above is on the free plan. Paying gets you more capacity and higher limits, not access to these settings. Set them once, and ChatGPT stops sounding like a stranger and starts sounding like it works for you.
